These terms govern your use of Assaya, a passive fire protection record-keeping platform
provided by Rockfirepro Ltd (company no. 16969024, England & Wales; ICO registration
ZC191719) ("we", "us", "Assaya"), available at
app.assaya.co.uk and through the Assaya mobile app.
By setting up or using an account you ("you", "the Customer") agree to these terms.
1. The service
Assaya is a tool for recording, organising and reporting passive fire protection work —
fire-stopping, fire doors and fire dampers — including drawings, seal records, photographs,
inspection due-dates and evidence packs. Each Customer is provided with its own isolated
instance of the platform.
2. Accounts & your responsibility
- An account is held by a single registered company (the account holder). The account
holder is the sole party we contract with, and is responsible for all use of its account,
including the actions of every person it invites or grants access to.
- You are responsible for keeping sign-in credentials secure and for the accuracy of the
information your team records.
- Our duties under these terms run only to the registered account holder. We are not
responsible for, and owe no duty to, any third party you choose to give access to.
- Accounts and access are personal to your company and must not be resold, sub-licensed, or
shared to allow another business to use Assaya without its own subscription.
3. Subscriptions, pricing & payment
- The Assaya mobile app's solo mode is free to use: no account is created, no server is
involved, and the records are held on the user's own device. There is no free team plan —
team workspaces and the admin console require an active paid subscription.
- What a slot is. A paid subscription is priced by slot. A slot is any account
that signs in and does work in your workspace — operative, surveyor or administrator alike.
There is no distinction between them and they are charged at the same rate. Client
observers — for example a main contractor, building owner, building control officer or
fire engineer — open a link you send them, hold no login, are not slots, and are not
charged. We do not impose a stated limit on how many of them you invite.
- Rates. £32 per slot per month for one to nine (1–9) slots; £27 per slot per month
from ten (10) slots upward, the lower rate applying to every slot on the account. Annual
billing is charged at fifteen per cent (15%) below the monthly rate. The published rate is
the rate at any team size; there is no separately negotiated tier above forty (40) slots.

- VAT. Rockfirepro Ltd is VAT registered (GB 524 1698 86), with effect from
17 July 2026. Figures published on our website exclude VAT; UK VAT is added at the
prevailing rate at checkout and shown as a separate line on your invoice.
- Adding and removing slots. Your slot count follows your team, and we will never stop someone recording their work because of it. If a new person starts, they can record from their first day — we do not block recording when your team grows past your slot count, and we do not require approval first. We adjust your slot count on request: an increase is charged from the date of the change, and a reduction takes effect from your next billing date. There is no notice period and no minimum term. Nothing in the service is metered beyond slots — there is no charge per drawing, per pin, per record, per report or per project, and no storage tier. The price is set by the number of slots and nothing else.
- Payment is collected securely by our payment processor, Stripe, by card or Bacs Direct Debit.
We do not store or have access to your full card details.
- Founder pricing: the first twenty-five (25) paying firms receive a founder rate of £25 per slot per month for one to nine (1–9)
slots and £21 per slot per month from ten (10) slots upward. What is locked is the
rate, not the bill: if your team grows, the founder rate applies to every slot you
add, and if it shrinks you pay for the slots you keep. The founder rate is held for the life
of the account. If a founder's membership ends, the rate is held through twelve (12) months
of non-membership — the same twelve months for which we hold the records under clause 5 —
and lapses at the end of that period, after which it cannot be reinstated. Twenty-five is a
counted limit and the offer closes when it is reached; firms joining after it pay the
published standard rate.
- Fees are non-refundable for part-used periods. You may cancel at any time (see clause 5).
- We may change prices for future billing periods on reasonable notice; a founder rate, once
granted, is not increased for as long as it subsists under this clause.
4. Your data & ownership
- Your records are yours. You may export your complete data set at any time from the admin console (System → Download full backup). Export is free of charge and is never withheld — not while your subscription is active, and not after it ends. It is not conditional on your account being in credit, and we will not charge a fee to release your records.
- Bringing records in, and handover packs, are separate chargeable services. Moving historic records into Assaya from another platform, or preparing a handover pack to a format a third party has specified, is work we do by hand. It is quoted per job and agreed with you in writing before any work begins. We do not offer bulk migration as part of a subscription, and we do not represent that records from another system transfer completely or without loss. Our default recommendation is a clean start on your next job, which costs nothing.
- We process your data only to provide the service, as described in our
Privacy Policy, which forms part of these terms.
- Your data is stored in your own isolated instance and is never pooled with, shared with, or
made visible to other customers.
5. Cancellation & data retention
- You may cancel your subscription at any time. Access to paid features continues until the end
of the period already paid for.
- After a subscription ends, your data remains available for you to export for twelve (12)
months from the membership end date.
- At the end of that twelve-month period your data is permanently deleted and cannot be
recovered. Re-subscribing before the end of the window keeps your data intact.
- If you hold a founder rate, it is held over the same twelve-month window and then lapses;
clause 3 sets this out in full.
6. Independence — no conflict of interest
Assaya is owned and operated by Rockfirepro Ltd, which separately operates a passive fire
protection contracting business. Rockfirepro's contracting business does not oversee,
monitor, audit, or have access to your work, jobs, clients or records. Rockfirepro's only
relationship to your data is as the operator of the Assaya software. Rockfirepro owns Assaya;
that is the whole of the relationship.
7. Your responsibility for compliance
Assaya is a record-keeping and reporting tool. It helps you capture, organise and evidence your
work and its inspection schedule. It is not a substitute for your own professional judgment,
certification, accreditation, or legal duties. You remain solely responsible for the fire
protection work itself, its correctness, and for meeting your obligations under all applicable
regulations and standards. Inspection reminders and due-dates are provided as an aid and do not
transfer any compliance duty to us.
8. Acceptable use
You agree to use Assaya lawfully and only for your own company's fire protection record-keeping.
You must not attempt to circumvent access controls or billing, disrupt the service, or use it to
store unlawful content. Sharing a single slot between two or more people in order to avoid adding
a slot is a circumvention of billing.
9. Availability & support
We aim to keep Assaya available and reliable and to back your data up regularly, but the service
is provided on a reasonable-efforts basis and we do not guarantee uninterrupted or error-free
operation. Support is provided via hello@assaya-app.co.uk
and the in-app support form.
10. Liability
- Nothing in these terms limits liability for death or personal injury caused by negligence,
fraud, or anything else that cannot be limited by law.
- Subject to that, we are not liable for indirect or consequential losses, loss of profit, or
loss arising from your own fire protection work or compliance obligations.
- Our total liability arising out of the service is limited to the fees you paid us in the
twelve months before the claim.
11. Changes to these terms
We may update these terms from time to time. Material changes will be notified to account
administrators. Continued use after a change means you accept the updated terms.
12. Governing law
These terms are governed by the laws of England & Wales, and the courts of England &
Wales have exclusive jurisdiction.
